How to use this shortlist

Start with the workflow boundary rather than a feature count. Identify the system that owns the source record, the event that starts the process, every irreversible action, and the person accountable when a run fails. Then estimate volume and review labor. This exposes whether per-task, per-operation, per-user, or execution-based pricing is likely to fit.

Important limitation

Vendor pricing and connector availability change. Scores reflect the published methodology and official sources checked on 2026-07-27; they are not a substitute for a trial using your own payloads.

When Power Automate is still the better choice

Do not migrate only because another builder looks simpler. Power Automate remains a relevant trial candidate when Microsoft identity, SharePoint, Teams, Dynamics, or desktop flows are central to the process. An alternative becomes more compelling when the workflow spans a mixed SaaS stack, needs deeper payload control, or requires a different deployment and ownership model.

What changed with AI steps

AI expands automation beyond exact rules, but it also introduces variable output. Classification, extraction, summarization, and drafting can be useful when wrapped in schemas, confidence thresholds, and review. Payments, deletions, permission changes, and customer commitments should remain deterministic unless a qualified person approves them.
